International Men's Club Walchwil (WIMC)

1. General

International Men's Club Walchwil (WIMC), hereinafter “WIMC”, “we” or “us”, takes the protection of your personal data seriously. This Privacy Policy informs you which personal data we process in connection with the use of our website [www.wimc-walchwil.ch] and in connection with our association's activities, for what purpose this occurs, and what rights you have.

Processing takes place in accordance with the Swiss Federal Act on Data Protection (FADP) and its implementing ordinance (DPO). Where visitors from the EU/EEA use our website, we also observe, to the extent applicable, the principles of the General Data Protection Regulation (GDPR).

2. Controller

The controller responsible for data processing is:

International Men's Club Walchwil (WIMC)

Haltli 1,  6318 Walchwil

club@wimc.ch

For any data protection questions, you may contact us at any time using the address above.

3. What data we process and for what purpose

3.1 Server log files / access data

When you visit our website, our hosting provider automatically collects certain technical data (so-called server log files), namely: IP address, date and time of access, page requested, browser and operating system used, and the referring page (referrer URL). This data is used for the technical delivery of the website, for identifying faults, and for IT security. This data is not combined with other data sources.

3.2 Hosting / website builder

Our website is operated and hosted via [Clubdesk (www.clubdesk.com) – please enter the actual provider]. The hosting provider processes technically necessary data (including the access data mentioned under section 3.1) on its infrastructure. It is possible that this data is also processed outside Switzerland, in particular in the EU or the USA.

Where data is processed in a country that is not recognised as providing an adequate level of data protection under Swiss law, we take appropriate measures (e.g. entering into standard contractual clauses with the provider, where offered) to ensure an adequate level of protection for your data, to the extent this is within our control as an association.

3.3 Contact form

If you send us a message via the contact form on our website, we collect the data you enter, at minimum your name, e-mail address and your message, as well as any further information you voluntarily provide. We use this data exclusively to process your enquiry and to contact you. We do not pass this data on to third parties unless this is necessary to answer your enquiry or is required by law.

The data is deleted once it is no longer required to process your enquiry, and at the latest after [12] months, unless a longer retention obligation applies.

3.4 Google Maps

Our website embeds maps from the “Google Maps” service, provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (or Google LLC in the USA). When you open a page with an embedded Google Maps map, your browser establishes a connection to Google's servers, and data (including your IP address) may be transmitted to and processed by Google, potentially even before you interact with the map.

This data transmission takes place regardless of whether you have a Google account or are logged in. If you are logged in to Google, your data may be linked directly to your account. For more information on the purpose and scope of data collection by Google, as well as your related rights and settings options, please refer to Google's privacy policy at policies.google.com/privacy.

We use Google Maps in order to present our club venue and event locations in an appealing and easily accessible way.

3.5 Newsletter

If you sign up for our newsletter, we use the data required for this purpose, or separately provided by you (typically name and e-mail address), to send you the newsletter on a regular basis. Sign-up takes place using the so-called double opt-in procedure, i.e. after signing up you receive a confirmation e-mail to verify that you are the holder of the e-mail address provided.

You may unsubscribe from the newsletter at any time via the unsubscribe link contained in every e-mail, or by informing us informally. After unsubscribing, your data will be deleted from the distribution list, unless you have expressly consented to further use, or we reserve a further use permitted by law.

3.6 Event and membership registration

For registration to club events or a membership application via our website, we collect the information you enter, namely name, address, e-mail address, telephone number, and any further information required to organise the event or process the membership application (e.g. number of accompanying persons, dietary requirements for catered events).

This data is used to organise and carry out the respective event, to maintain our membership records, and for internal club communication (e.g. invitations, invoicing of membership fees). Data is passed on to third parties outside the club only where necessary to carry out the event (e.g. to a restaurant to confirm a reservation) or where you have expressly consented.

4. Cookies

Our website may use technically necessary cookies required for the basic operation of the website (e.g. to store language settings). Where our website-builder provider additionally uses analytics or marketing cookies, you will be informed accordingly via a banner on your first visit and may grant or decline your consent.

You may prevent the storage of cookies through the corresponding settings of your browser; please note, however, that in this case you may not be able to use all functions of this website to their full extent.

5. Retention period

We process and store your personal data only for as long as necessary to fulfil the respective purpose (e.g. processing an enquiry, carrying out the membership) or as required by statutory retention obligations (e.g. commercial and tax retention periods for club accounting, generally 10 years).

6. Disclosure and processing by third parties

We disclose your personal data to third parties only where necessary to fulfil the purposes described above, where required by law, or where you have expressly consented. Where we engage external providers to deliver our services (e.g. hosting provider, newsletter tool), we ensure through contractual arrangements that they process your data only on our instructions and in accordance with this Privacy Policy.

7. Data security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, alteration or destruction. We continuously improve our security measures in line with technological developments.

8. Your rights

As a data subject, you have the following rights under applicable data protection law, in particular:

  • Right of access: you may request information as to whether and what personal data we process about you.
  • Right to rectification: you may request the correction of inaccurate personal data.
  • Right to erasure: under certain conditions, you may request the deletion of your personal data.
  • Right to object: you may object to the processing of your personal data where it is based on a legitimate interest, in particular in the case of direct marketing (e.g. unsubscribing from the newsletter).
  • Withdrawal of consent: any consent given (e.g. for the newsletter) may be withdrawn at any time with effect for the future.

To exercise these rights, please contact us using the address given in section 2. We will review and respond to your request in accordance with applicable legal requirements and within a reasonable period.

If you believe that the processing of your personal data violates data protection law, you may also lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC).

9. Minors

Our offering is not specifically directed at minors. Should personal data of minors nevertheless have been submitted without the consent of a parent or legal guardian, please contact us so that we can delete the relevant data.

10. Changes to this Privacy Policy

We reserve the right to amend this Privacy Policy at any time in order to adapt it to changes in the legal situation or to changes in our website and the services we use. The version published on our website at the time of your visit shall apply.
